How To Create A Wedding Timeline: A Stress-Free Guide

Planning your wedding can sometimes feel overwhelming, but I’m here to share your secret weapon to success — a well-organised timeline! Your wedding timeline is simply an itinerary, or run sheet, that lays out the logistics and timings for everything that will happen on your wedding day, from the arrival of your bridesmaids for hair and makeup to your last dance. 

The best way to plan a wedding day schedule for a smooth celebration is to work through your day and note the start and finish times for each. It’s not as complex as you might think! 

If you’re getting married in Auckland (or anywhere!), here’s how to create a stress-free wedding day timeline, step by step! I’ve outlined all the major factors to include in your timeline, followed by my top tips to help you get started. 

Getting Ready Time

You’re bubbling over with excitement in the morning when your bridal party arrives for hair and makeup! Your getting-ready time will often be first on the wedding timeline.

Once you know how long hair and makeup will take for each person, and what time your makeup artist will arrive, work backwards and decide what time everyone should arrive at the venue. You’ll want time for chatting, coffee and breakfast, or some celebratory bubbles too! 

The Ceremony

What time will your ceremony begin? Again, working backwards, deduce what time you’ll need to arrive at the ceremony location (if you’re not getting ready in the same place!)

When considering how to create a wedding timeline for your ceremony, talk to your celebrant as they can let you know how long the ceremony will take and any other key timing details. 

Celebrations & Photography

You’ve said I do, exchanged your rings — and now it’s time to let loose! After your ceremony, leave some buffer time for congratulations, hugs, and just soaking up the moment. 

Then, we’ll take some couples and family photography while the rest of your guests can relax or enjoy a cocktail. As your Auckland wedding photographer, I’ll help you make a list in advance of which relatives or friends you’ll want to include in photos, which will make the process go faster. 

Reception Entrance

Time for the grand entrance! Maybe you’re planning a dress change, a special dance together, or simply a casual kickoff, but work with your venue to determine when your reception will start. 

It’s often good to leave some time between family photos and the start of your reception so you can sneak away for a minute together as a newly married couple to savour the moment and catch your breath before the night begins! 

Reception & Mealtimes

Receptions generally have multiple elements that are dependent on timing, including a multi-course dinner, wedding speeches, your first dance, the father-daughter dance, or any other special inclusions that will be part of your day. 

Based on the venue’s start and end time, and the meal-service times, work out when you’d like to do speeches, when the DJ should start playing, etc. 

We can also schedule some time around the golden hour (I can help with this), where we can duck outside to take romantic couples’ portraits in the soft light before sunset. 

Last Dance

It feels like it’s gone by in just a moment! Your wedding day can go by so fast, and generally, the last dance (or your reception exit) is at the end of the evening. It’s often when your photography package will wrap up and when your band or DJ will finish as well. 

Your venue will likely supply a time in advance when all guests need to exit, so usually you’ll schedule the last dance shortly before this.

Always Leave a Buffer as Things Can (and Will!) Run Over Time

Your day will be perfect, no matter what, but occasionally your hair may take longer than expected, the limo might get stuck in traffic, or we may be having so much fun during your portraits that we slightly run over time!

It’s all part of the beauty of your wedding day, so allocate some additional time where you can ensure all your day flows smoothly, no matter what happens. 

Discuss Timing With Your Venue

Before writing your timeline, talk with your key vendors, including your venue and catering, about their timings. Some venues may be strict on elements like dinner service or last call for drinks, so you’ll need to work around these elements when scheduling. 

Once your timeline is finished, you’ll also want to share it with all of your vendors — not just the venue but your DJ, florist, content creator etc. That way, everyone is working off of one document and the day will flow smoothly.
